How to Make a Booking:
To reserve any of our adventures or trips, you must fill out the Booking Application Form and send it to us via email along with a 25% deposit for trekking, hiking, or biking tours. We also require scanned copies of the passports of all team members, including passport-sized photos and flight ticket reservations. Thirty days before the trip, a second payment of 25% is due, with the remaining 50% payable upon arrival in Kathmandu. For peak climbing and mountaineering expeditions, a 30% deposit is required at the time of booking, another 30% is due 30 days before your arrival in Kathmandu, and the final 40% upon your arrival.
We accept online payments via bank transfer, credit card, or Western Union. You'll need to provide certain documents for credit card payments. Passport and passport photos are required for trekking and climbing permits, which we'll arrange for you.
Payment:
We accept various payment methods, including bank transfers, online payments, credit cards, and Western Union. The balance of the tour price must be paid in full before the required deadline. Please note that a 4% bank levy fee applies to credit card transactions.
Amendments:
If you need to make changes to your tour arrangements, please inform Apoorva Tours & Treks in writing. Certain costs, like government permits or flight tickets, may not be refundable or revocable, and you may be responsible for cancellation fees.
Cancellation Policy:
Our cancellation policy varies depending on the type of trip. Please review our cancellation rules for trekking, peak climbing, and air ticket purchases carefully. The cost of climbing permits, insurance, and equipment allowances are non-refundable.
Cancellation due to Numbers of Clients:
Apoorva Tours & Treks reserves the right to cancel expeditions or trips if there are too few participants. In such cases, a full refund will be provided to clients. Additional expenses incurred due to cancellation will not be compensated.
Health and Fitness Requirements:
For most of our adventures, good health and physical fitness are required. We recommend following our pre-departure fitness training recommendations. Clients with certain medical conditions are advised against participating. It's essential to have travel and medical insurance covering air transfer evacuation and hospitalization expenses.
Children:
Travelers under the age of sixteen must be accompanied by a legal guardian. Age restrictions apply to certain activities, and you can contact us for more information.
Insurance:
Travel insurance is mandatory and should cover various aspects, including medical, illness, injury, cancellation, and emergency evacuation. Evidence of insurance is required before the trip.
Route Changes, Postponement, Cancellation:
Apoorva Tours & Treks may modify routes, objectives, or even cancel aspects of a tour due to various reasons, such as inclement weather or adverse conditions. Clients are not entitled to refunds or compensation in such cases.
Proof of Citizenship:
Travelers must have proper identification or proof of citizenship as required by destination authorities. Failure to provide necessary documentation may result in denial of boarding or entry, and no refund will be issued.
Prices for the Trip:
Our tour prices are based on various factors and may be subject to change due to factors like exchange rate fluctuations, fuel costs, or other expenses. Any price adjustments will be communicated before the departure date.
Exclusions from Tour Price:
Certain items are not included in the tour price, such as personal medical travel insurance, visa and passport charges, meals in certain locations, personal expenses, tips, and mountaineering summit bonuses.
Unforeseen Circumstances:
In case Apoorva Tours & Treks cancels a trip due to unforeseen circumstances like war, natural disasters, conflict, unfavorable climate, we would be happy to refer you to an alternative trip of a similar standard. Even if this does not fit your interest, all monies paid by you to our company will be refunded.
Publicity Images and Videos:
You agree that Apoorva Tours & Treks may use images and videos taken during the trip for publicity and promotional purposes without compensation to you.
Privacy:
Your personal information will be kept secure and confidential. It will not be disclosed for any other purposes.
Client Responsibility:
During any Apoorva Tours & Treks trip, the guide is the full representative of the company. Unlawful acts may result in your removal from the tour without a refund.
Miscellaneous:
These terms and conditions are governed by the laws of Nepal and the Nepal Tourism Association. Parties do not waive any rights by allowing time or indulgence, and illegal or invalid parts of the conditions are treated as removed.
